Creating and managing document packs
What are document packs?
Document packs are collections of required or informational documents bundled by building type, tenure, and country. They define which documents should be present for a given plot and are used by Doc Assure to track compliance across your portfolio.
Once a pack is created, it can be assigned to projects or individual plots. See Assigning document packs to plots for the assignment workflow.
Creating a pack
- Navigate to Doc Assure → Document Packs.
- Click Create Pack.
- Fill in the pack details:
- Pack name (e.g. "UK Freehold House Completion Pack")
- Description (optional)
- Building type — Houses, Apartments, or Mixed
- Tenure — Freehold, Leasehold, Shared Ownership, etc.
- Country — sets the compliance scope
- Stage visibility — when this pack becomes active (e.g. "From Completion onwards")
- Active / Inactive toggle
- Click Create.
Adding documents to a pack
- Find the pack in the table and click the expand button to open it.
- Click Add document and type the document name, then confirm.
- To add multiple documents at once, click Bulk paste and paste a list from a spreadsheet.
Configuring document attributes
For each document in the pack, toggle the following attributes:
- Mandatory (star icon) — marks the document as required. Residents see a required indicator.
- Visible to resident (eye icon) — controls whether the document is visible to the resident or internal only.
- Shared (groups icon) — upload the document once and it is used across all sites that include this pack (e.g. a standard Complaints Policy).
- Reminder schedule — set a quarterly, semi-annual, or annual reminder for this document.
Uploading a shared document
- Toggle Shared on a document to reveal the upload area.
- Click Choose file and select a PDF, Word, or Excel file.
- The file is stored and automatically used by all sites assigned this pack.
- To replace the file, click Replace file. To remove it, click the X icon.
Editing or deleting a pack
- Edit: Click Edit Pack in the table row to reopen the pack form. Adjust any fields and click Save Changes.
- Delete: Click the trash icon. You will be asked to confirm. Deleting a pack removes it from all assigned plots.
